Reviewed 15 October 2026. Self-employment and specified limited-company income have their own evidence rules and financial-year calculations. A few recent invoices or a high business bank balance do not replace the required annual evidence.
For a salaried employee, the preparation calendar may follow pay periods. For a business owner, it can follow completed financial years, accounts and tax filings. That difference changes when an application is realistic. Start with the business structure and the category that applies, then ask the accountant for a defined evidence pack. Sending every business document without a plan makes the file larger without resolving the financial test.
Name the business structure
Record whether the sponsor is a sole trader, partner, franchise operator, director, employee or shareholder. A person can appear to receive a salary but still fall within the specified limited-company provisions. Family shareholdings and company structure can matter. Do not choose a standard employment category only because payslips exist. Make a short structure note and list the relevant ownership facts for review.
Reconcile the year, not just the latest month
The financial guidance distinguishes the last full financial year and, where permitted, an average of the last two full financial years. Match the relied-on period to the tax and accounting evidence. Keep turnover, allowable costs, profit, salary and dividends in separate columns; they answer different questions. Do not add a company’s revenue to personal income.
Build a cross-reference between the tax return, tax account evidence, accounts and relevant personal/business statements. The official specified-evidence requirements depend on the structure. Record any missing item as a task for the accountant or issuer. A neat cover sheet is valuable only when it points to the required underlying documents.
Show that the activity continues
A completed year is historical evidence. Where the rules require ongoing activity, identify the current document that establishes it. Do not rely on a statement that “the business is still running” without checking the relevant requirement. If income dropped, the business changed structure or the sponsor moved countries, record those facts early. A realistic timeline can accommodate a complicated evidence question more effectively than an urgent application assembled around optimistic assumptions.
| Workstream | Owner | Useful completion test |
|---|---|---|
| Structure and category | Applicant / adviser | Legal structure and category recorded |
| Completed-year evidence | Accountant / sponsor | Periods and figures reconcile |
| Bank evidence | Sponsor / bank | Required accounts and dates covered |
| Ongoing activity | Sponsor | Current evidence identified |
| Submission timing | Applicant | Latest documents satisfy date requirements |
Give the accountant a defined evidence project
Prepare a short engagement note identifying the immigration evidence task, the business structure and the financial period being reviewed. Ask the accountant to confirm which requested documents they can provide and which must come from HMRC, a bank or the company itself. This avoids a final-week assumption that an accountant’s letter replaces every missing underlying record. Record delivery dates and review responsibilities.
Create a reconciliation bridge between the accounts and the personal figure relied on. The bridge should identify the nature of each amount, the relevant year and the source document. Business revenue, taxable profit, salary, dividends and money withdrawn from an account are not interchangeable labels. If a figure cannot be traced, leave it unresolved rather than placing it in a total that looks precise. The chosen immigration category determines what may be counted.
Where the business has changed, add a dated change log. Incorporation, a new partnership, share changes, a move abroad or cessation of part of the activity can affect the evidence questions. The accountant can explain financial records; a regulated immigration adviser may need to assess the route consequences. Keep those roles clear and ensure both reviewers work from the same facts. A complete financial-year pack is useful only if it relates to the category and period actually being relied on.
A practical example
A sponsor who owns a family company has payslips and dividends. The couple initially plans a six-month employee file. Their structure sheet reveals that the specified-company rules need checking, so they move the work into a company-year dossier and ask the accountant for the correct period. The planning sheet has identified a category question; it does not try to solve it by relabelling dividends as salary.
Put the plan into practice
Use the accompanying resource to turn the explanation into a file you can actually review. Work through these actions in order; where a point is uncertain, record the uncertainty rather than changing the facts to fit a preferred answer.
- Draw the ownership and employment structure and identify any family shareholdings.
- Confirm the relevant completed financial year or permitted two-year basis.
- Ask the accountant for a document list aligned with the official evidence provisions, with delivery dates.
- Reconcile the personal income figure to the tax, accounts and bank evidence; log any unresolved difference.
Questions to resolve before you act
Does the figure represent personal income under the rules or business turnover? Do all documents cover the same financial period? Has the structure changed since that period? Is ongoing trading evidenced where required? Resolve these points before making a fee commitment.
