Reviewed 15 October 2026. Create a month-by-month reconciliation linking each payslip to the corresponding bank credit and employer evidence. The required evidence period depends on the employment category; six months is not the answer for every applicant.
A well-paid job can still produce a confusing file. Payroll may pay early before a holiday, an employer may trade under a different name, or a bonus may appear without explanation. None of these facts should be edited away. The practical task is to make the evidence understandable and to check it against the specified requirements. Begin with the documents, then write a short explanation of real discrepancies.
Confirm the period and category
Before requesting documents from HR, establish which employment category you intend to use. The distinction between at least six months with the current employer and other employment patterns can affect both calculation and evidence. If a specified limited company is involved, a standard employee checklist may not apply. Put the category at the top of the reconciliation sheet so that a reviewer can see the basis of the request.
Read across three evidence lines
For every pay period, compare the payslip’s gross pay, its net pay and the actual bank credit. Mark the bank page and transaction date. Then check the employer letter against the job title, salary, length of employment, period at the relied-on salary and employment type. An employment contract can be useful context but should not be treated as a universal substitute for specified documents.
Use a notes column for genuine differences: a corrected payslip, split payment, maternity or sick pay, or a name difference between employer and payroll processor. Ask the issuer to explain factual details on appropriate stationery. Do not create your own replacement payslip or alter a bank PDF to make the numbers line up.
Check formats before the final week
Appendix FM-SE specifies formats as well as content. Check the applicable requirements for electronic bank statements and employer-issued payslips. A bank or HR team may need time to issue the correct confirmation. Make those requests while the evidence period is still being assembled. Keep a request log with the person contacted, request date and expected response. That log is for project control; it is not a substitute for the document itself.
| Pay period | Payslip check | Bank / explanation check |
|---|---|---|
| Month 1 | Gross, net and employer identified | Matching net credit and date |
| Irregular month | Bonus or deduction marked | Source explanation requested |
| Final month | Latest document timing checked | Correct period and account holder |
| Employer letter | Required facts present | Signed / issued in suitable format |
Make an issuer request that is easy to fulfil
An HR request should explain the factual information needed and identify the pay periods. Attach a list of the payslips being relied on and ask for any specific clarification about corrected pay, employer names or unusual payment timing. Avoid asking HR to certify that the visa must succeed. Their role is to confirm employment facts and document authenticity where required, not to make an immigration decision.
For the bank request, establish what the institution can issue and how long it takes. Check that complete statements cover the necessary account holder and dates. If the bank uses a different statement cycle from payroll, preserve the pages on either side of the pay period so that the credit can be located. Do not trim away unrelated transactions if that makes the statement incomplete under the applicable requirements; instead use an index to direct the reviewer to the relevant entry.
Keep a final outstanding-items log with three states: requested, received and reviewed. A common project mistake is treating an email request as completion. Once a document arrives, compare it with the request and the current evidence rule. A signed letter can still omit an essential fact. Leave enough time for a corrected version and preserve the actual issued document in the final archive rather than replacing it with your own summary.
A practical example
Sam’s February salary appears in the bank on 28 February, while March’s appears on 27 March because payday fell at a weekend. The worksheet records both dates and points to the corresponding payslips. A larger April credit includes expenses, so Sam requests an employer explanation and keeps the salary component identifiable. The file explains what happened without pretending every credit is identical.
Put the plan into practice
Use the accompanying resource to turn the explanation into a file you can actually review. Work through these actions in order; where a point is uncertain, record the uncertainty rather than changing the facts to fit a preferred answer.
- Collect complete statements and all payslips for the verified period; identify missing pages immediately.
- Assign each payslip an evidence reference and record the matching bank transaction.
- Draft a factual HR request listing the required letter information rather than sending an unedited internet template.
- Run a final name, date, salary and document-format check before refreshing time-sensitive evidence.
Questions to resolve before you act
Can a reviewer locate each bank credit quickly? Are you using the right period for your category? Does a director/shareholding connection change the evidence rules? Is a discrepancy merely explained by your own assertion, or supported by an issuer’s document?
